  1. PURPOSE 

    ProClipse Consulting is committed to providing quality services to our Customers, Clients, Staff, and Communities. This policy (extract) outlines our ongoing obligations as an Equal Opportunity Organization on our commitment to ensure equality and promote diversity in the workplace.     This Policy applies to ALL ProClipse Consulting stakeholders: employees, shareholders, candidates, customers, partners, students, contractors, and visitors.

  7. RESPONSIBILITIES

    Diversity, Equity and Inclusion (DEI) at ProClipse Consulting requires ownership at all levels of the organization and by every individual.

    • Leadership: Set DEI goals, allocate resources, and lead by example

    • Managers: Implement DEI initiatives, foster inclusive team environments

    • All Employees: Participate in DEI training, report concerns, contribute to an inclusive culture

  8. MONITORING AND REPORTING

    • Conduct annual DEI audits

    • Regularly collect and analyze diversity data

    • Report progress on DEI initiatives to all stakeholders annually

  9. COMPLAINT PROCEDURE

    ProClipse Consulting is committed to addressing DEI-related concerns promptly, fairly, and confidentially. We encourage individuals to report any violations of this policy or concerns related to diversity, equity, and inclusion.

    1. Reporting a Complaint

      1. Informal Resolution: We encourage individuals to first attempt to resolve issues informally by discussing their concerns with their immediate supervisor, HR representative, or a member of the DEI committee.

      2. Formal Complaint: If informal resolution is not successful or appropriate, individuals may file a formal complaint by:

        • Emailing: [email protected]

        • Submitting a written complaint to the HR department or DEI Officer

      3. Information to Include:

        • Description of the incident(s) or concern

        • Date(s) and location(s) of the incident(s)

        • Names of individuals involved and any witnesses

        • Any supporting documentation

    2. Complaint Handling Process

      1. Acknowledgment: The complainant will receive an acknowledgment of their complaint within 2 business days.

      2. Initial Review: The DEI Officer or designated representative will review the complaint within 5 business days to determine the appropriate course of action.

      3. Investigation: If warranted, a thorough investigation will be conducted, which may include:

        • Interviewing the complainant, the accused (if applicable), and any witnesses

        • Reviewing relevant documents and evidence

      4. Confidentiality: All investigations will be conducted with the utmost confidentiality, sharing information only on a need-to-know basis.

      5. Timeframe: We aim to complete investigations within 30 days, barring any complexities.

      6. Outcome: The complainant and the accused (if applicable) will be informed of the investigation's outcome and any actions taken.

    3. Appeal Process

      If the complainant is dissatisfied with the outcome, they may appeal the decision within 7 days of receiving the outcome. Appeals should be submitted in writing to the CEO or a designated senior executive.

    4. Non-Retaliation

      ProClipse Consulting strictly prohibits retaliation against anyone who reports a DEI concern or participates in an investigation. Any retaliation will be treated as a separate violation of this policy and will be subject to disciplinary action.

    5. False Complaints

      While we encourage reporting of genuine concerns, knowingly making false accusations is a serious offense and may result in disciplinary action.

  10. POLICY REVIEW

    This Policy will be reviewed annually to ensure its effectiveness and relevance.

  11. POLICY UPDATES

    This Policy may change from time to time. The most current version will always be available on our website and internal communication channels.
